Use this workflow to create reports and schedule them to email a user-defined recipient on a specific date and time at a set frequency

The Report Subscription feature lets you subscribe to reports you have access to. Used with the Report Generator, you can customise a report to your needs and then use Report Subscription to schedule it to be emailed to select users on a daily, weekly or monthly basis. You can also edit and cancel subscriptions here.




Note
If you arrived at the Report Subscription page by clicking 'Subscribe' from the Report Generator screen, then the report you are subscribing to is the only one the system will display.

Fill out the subscription form as follows:

a.   email address of the recipient.

b.   Start Date and time.

c.   End Date

d.  Frequency

e.  Active checkbox.

The Active checkbox is useful if the report recipient will be on holidays and want to reduce the number of emails sent in their absence.

Step-by-step

  1. Login to your website and click Dashboard.

  2. In your 'Dashboard', scroll down to the 'My Pages' section and click Report Subscription

  3. In the 'Report Subscription' list, you can sroll down the list of reports to find a report or search for it.

  4. Click Subscribe for the report. The Manage Subscriptions screen for the report is displayed. Any current subscriptions will be displayed.

  5. To create a new subscription, click the New Subscription button.

  6. In Recipient Email Address, enter the user's email address this subscription is for. 

  7. In the Start Date and End Date fields, enter the beginning and end dates for the subscription period.

  8. In Frequency, select how often the updated report will be emailed: 'Daily', 'Weekly' or 'Monthly'. 
  9. The Active checkbox tells you if the subscription schedule is currently running. It is ticked by default when a subscription is created. If you do not want the subscription schedule to run at this time, untick it. You can always tick it later on.   
  10. Click Add to save the subscription.

Manage a Subscription

You can edit or delete an existing subscription.

To view an existing subscription, 

  1. Find the report and click Subscribe. Details of any current subscriptions and when it was last emailed are listed.

  2. (i) To remove the subscription from the system, click Delete.
    (ii) To edit the details of the subscription, change any information in the fields and click Update.
    (iii) To pause the scheduled emailing of the report, untick the 'Active' checkbox and click Update.
