Order Templates

Using Order Templates:

Creating an Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of the template.
  5. Select Create or Save or equivalent.
  6. A message will display that order has been saved.
  7. Navigate to the Order Templates page.
  8. Select View on the Order Template just created.

Viewing an Order Template: 

  1. Navigate to the Order Templates page on the site. Usually this is under My Account or Orders.
  2. Select View on the Order Template you would like to view.

Adding to an Existing Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of an existing template that you wish to append to.
  5. Select Create or Save or equivalent.
  6. Select Append
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Order Template that has been updated.

Overwriting an Order Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of an existing template that you wish to append to.
  5. Select Create or Save or equivalent.
  6. Select Overwrite.
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Order Template that has been overwritten.

Updating an Order Template:

  1. Navigate to the Order Templates page on the site. Usually this is under My Account or Orders.
  2. Select View on the Order Template you would like to view.
  3. To clear the quantities of all lines, select Clear Quantities from the options at the bottom of the order grid.
  4. To re-sequence the lines on the template, use the drop down selection in the re-sequence column for each line.
  5. Select Save Template Changes to then save the changes to your template.

Deleting an Order Template:

  1. Navigate to the Order Templates page on the site. Usually this is under My Account or Orders.
  2. Select Delete on the Order Template you would like to delete.

Company Templates

Set Up:

To use Company Templates some set up is required and there are 2 options when it comes to allowing usage of these templates. Keeping in mind the template will be available to all user's of the same debtor code. The options are:

    1. Navigate to CustomerMaintenance. (CustomerMaintenance.aspx)

    2. Search and select the customer to set up Company Templates for.

    3. Select the Customer Details Tab.

    4. Select Modify.

    5. Update the setting "Allow Creation of Company Order Templates" to "Yes"

    2. Navigate to Advanced User Maintenance. (UserMaintenance.aspx)
    3. Search for and select the user to be permitted to use Company Templates.
    4. Select the Accounts Tab.
    5. Select the Customer Code.
    6. Select Modify.
    7. Update the setting "Allow Creation of Company Order Templates" to "Yes"

Note

"Allow Creation of Company Order Templates" must be set to yes on the Customer and User Customer record as a minimum for the option to save as a company template or view existing company templates will be available.

Using Company Templates:

  1. Navigate to the Order Templates page on the site. Usually this is under My Account or Orders. You will see any previously saved Templates.
  2. Company Templates will have "Yes" recorded against them in the "Company Template" column.
  3. Select View on the Company Template you would like to use.
  4. Select Copy Items to Current Order or equivalent.
  5. A message will display that items have been added to your current cart.
  6. Navigate to the cart page to view the items that have copied to your current order.

Creating a Company Template:

  1. Browse or search for products and add them to the shopping cart.
  2. Navigate to the shopping cart or orders page.
  3. Select Save Order to Template or equivalent.
  4. Enter the name of the template.
  5. Check the box marked "Company Template"
  6. Select Create or Save or equivalent.
  7. A message will display that order has been saved.
  8. Navigate to the Order Templates page.
  9. Select View on the Company Template just created.

Use cases: Your business customers wants some of their users based on role to have easy access to regularly-ordered products prepared with quantities, prices and ordering notes for future orders. Your staff can create order templates for users in their accounts.

View an Order Template

To view an existing order template: 

  1. While logged in as a user, go to the Dashboard menu and select Order Templates.

  2. The list of saved templates  is displayed. Click View next to the required template. TIP - If there are too many order templates, use the Search tool to quickly find the one you want.

Delete an Order Template

To delete an Order Template:

  1. On your Saved Order Templates list, click Delete next to the template. TIP - If there are too many order templates, use the Search tool to quickly find the one you want.

  2. In the Confirmation popup, click Confirm.

  3. The Order Templates list will reload.


Reorder from an Order Template

  1. View the existing order template.

  2. Click Add All to Cart

    Tip

    Before you add the template's products to cart, you can also edit or delete lines, change the product sequence and quantities, add more products, enter notes and cost centre (if used), etc.

  3. A confirmation message displays to advise that the template's items have been added to cart.

Create an Order Template

From the Cart page

  1. Browse or search for each product you wish to add. Once in the product page, adjust quantity and click Add to Cart

  2. Continue adding products until you have all required products.

  3. Go to the Shopping Cart.

  4. Select Save As Template.

  5. The Order Templates page displays. If there are existing templates, they are listed.

  6. Click Create a new template.

  7. In Template Name, enter a name for the new template.

  8. If this template can be used by other users with the same Customer Code, tick Company Template. If Role-level order templates is enabled, the Role Template checkbox is displayed. Tick to limit this template to your Role. If Company Template is also ticked, the template is limited to Company users in your Role. Leave both unticked to create a User Template. The template will be available only to the creator.

  9. To save the template, click Save Template.

  10. A message displays to confirm the template has been saved. It will be listed in your saved templates.

    Tip

    Order Templates copies the products and quantities in the cart to create an Order Template. These items are still in your cart. You can submit an order by selecting Go to Current Order

Add to Existing Order Template

To add cart products and quantities to an Existing Order Template:

  1. While in the Order Templates page, select Append to existing template.

  2. In Template Name, select an existing template. 

  3. Click Save Template.

  4. A message displays to confirm the template has been updated.


Overwrite an Order Template

To overwrite an existing template with current cart products and quantities:

  1. While in the Order Templates page, select Overwrite existing template.

  3. Click Save Template.

  4. Check a message confirms the template was updated.
